How we work a portfolio

One contact, not a rotating cast

You get a named account contact who knows your properties, and that contact does not change between the proposal and the work. When you call about the building in Rockville, you are not explaining the building in Rockville.

A roof file per property

We maintain a record for every building we work on: assembly type, age where known, area, warranty documentation and its expiry, repair history with photographs, and the current condition assessment. That file belongs to you. When the property changes managers, or when ownership asks what has been spent on the roof over five years, the answer is a document rather than an archaeology project.

Standardized reporting

Every visit produces the same report format: what we found, what we did, photographs, what needs attention next, and a recommended timeframe. Consistency matters more than volume here. A manager comparing eleven properties needs the eleven reports to look the same.

Budget forecasting

Ahead of your budget cycle, we will produce a forward view across the portfolio: which roofs need capital in the next year, which in the next three, and an estimated range for each. Managers get ambushed by roofs because roofs are invisible until they are urgent. A forecast turns that into a line item you defended in advance.

Tenant handling

We work to your notice requirements and your tone. Written notice ahead of disruptive work, defined working hours, parking and access coordination, controlled debris, and crews who understand that a tenant complaint lands on you and not on us.

The commitments below are the ones we make in a master service agreement, and we would rather agree them in writing than describe them warmly.

We publish the structure rather than a specific number of hours because the honest commitment depends on the property, the distance and what you actually need. A contractor promising a universal two-hour response to every property in three jurisdictions is telling you something that is not true.

Controlling who goes on your roof

One of the most valuable things we do for a manager has nothing to do with roofing. In multi-tenant retail and office property, tenants routinely hire their own mechanical, sign, telecom and satellite contractors, and those contractors go on the roof, cut it, drill it and walk it without your knowledge and with no obligation to flash their work properly. It is the leading cause of leaks in multi-tenant buildings, and it is entirely administrative in origin.

The fix is a roof access policy: controlled access, a log of who went up and when, a lease or work-order requirement that any penetration is performed by the roofing contractor of record, and a photographic record of the roof's condition so damage can be attributed. We will help you write it and we will enforce our side of it. It costs nothing and it removes a recurring expense from your operating budget.

On site, the commitments are the ones your tenants will judge you on rather than us: agreed working hours, planned noise and odor operations, daily dry-in, ground-level debris control and written notice ahead of anything disruptive. Those go in the master service agreement so they are enforceable rather than aspirational.

Will you sign our master service agreement rather than yours?

Generally yes, and we will read it properly and flag anything we cannot accept rather than signing and arguing later. The clauses that usually need discussion are indemnity scope, payment terms, and response time commitments, because we will not agree to a response time we cannot actually meet at every property in your portfolio.

Can you handle properties across Maryland?

Yes. We are licensed in Maryland and work throughout the District, and we confirm the correct permitting authority per property, which matters because city and county jurisdictions do not always align with the mailing address. A portfolio spread across three jurisdictions is normal for us.

Do you charge for inspections and reports?

An initial site assessment and written condition report is provided without charge. Detailed diagnostics that require specialist work — a full infrared moisture survey, extensive core cutting, or a formal roof asset management survey across a portfolio — are quoted, because they take real time and produce real deliverables. We tell you which you are getting before we do it.

How do you handle after-hours emergencies?

Through the arrangement agreed in your master service agreement, so nobody is improvising at four in the afternoon on a Friday. Our tenants keep damaging the roof. Can you help with that?

Yes, and it is one of the more valuable things we do. We will help you put a roof access policy in place, document the roof's current condition photographically so future damage can be attributed, and act as the roofing contractor of record for any penetration a tenant's contractor needs. In multi-tenant property, uncontrolled roof access is the leading cause of avoidable leaks.
