This policy applies to the personal information of homeowners, prospective customers, job applicants, and website visitors in Maryland, Virginia, and (as we expand) other U.S. states. It is written to comply with federal law and applicable state privacy laws, including the California Consumer Privacy Act (CCPA/CPRA), the Virginia Consumer Data Protection Act (VCDPA), and similar state laws as they take effect.
1. Information we collect
We collect information you give us, information collected automatically, and information from third parties.
You provide
- Identifiers & contact: name, property address, email, phone number.
- Property & claim details: roof age/size, damage description, insurance carrier, and claim information you choose to share.
- Scheduling: requested inspection date/time and notes.
- Job applicants: work history, qualifications, screening answers, and anything you submit in an application.
- Communications: messages you send to our chat assistant, voice assistant, email, or team.
Collected automatically
- Device and usage data (IP address, browser type, pages viewed, referring page), and approximate location, via cookies and similar technologies and analytics tools (see §3).
From third parties
- Storm/weather and property data providers, advertising platforms (e.g., Meta, Google), and service providers that help us verify or enrich the information you provide.
- Our AI voice & chat assistant ("Riley") interactions are processed by our voice/AI provider (ElevenLabs) and our model provider to answer your calls and messages. Your voice recordings, transcripts, and messages may be processed and stored to provide and improve the service, per those providers' privacy policies.
2. How we use your information
- Schedule and perform free roof inspections and provide our services.
- Document storm damage and assist with insurance claims you ask us to help with.
- Respond to you and provide customer service through our team and our AI chat/voice assistants.
- Send transactional messages (confirmations, reminders) and, with your consent, marketing.
- Operate, secure, analyze, and improve our website, tools, and business.
- Recruit and evaluate job applicants.
- Comply with law and enforce our terms.
Call recording notice
Calls to and from United Developers may be monitored or recorded for quality, training, and record-keeping. Maryland law requires the consent of all parties to record a call, so you will be told at the start of any recorded call that recording is on, and you may decline — if you do, we will turn recording off and continue the call. Calls answered by our AI assistant are transcribed; the same notice-and-decline applies.
3. Cookies & analytics
We use cookies and similar technologies for essential site functions, to remember your preferences, to measure traffic, and to support advertising. We use analytics and product-measurement services including Google Analytics, PostHog (which records anonymized page interactions and session replays; all form input fields are masked and never recorded), and advertising pixels from Google and Meta to understand how our site performs and to reach people who may need our services. Our website and customer data are hosted on Supabase. Our staff application uses Sentry for error monitoring with personal information scrubbed before transmission.
When you first visit, our cookie banner lets you accept or reject non-essential cookies, and you can change your choice anytime via “Cookie preferences” in the banner or by contacting us. We honor Global Privacy Control (GPC) browser signals where required. Non-essential analytics and advertising cookies load only after consent where the law requires it.
Storage on your device
Separately from cookies, some of our pages keep a small amount of information in your own browser (local storage). This never leaves your device by itself — we cannot read it from our servers, and nothing here is shared with anyone.
- Your cookie choice. So the banner does not ask you again on every page.
- Progress in our self-serve tools. Our roof quote, roof visualizer, property report, instant quote, addition designer and booking tools are multi-step. To spare you re-typing everything if you close the tab and come back, we keep your answers — property address, roof age, number of layers, stories, size, service type and similar — in your browser for 7 days, after which they are deleted automatically.
We deliberately do not keep your name, phone number or email address this way, and we never remember a consent or opt-in checkbox — a permission has to be given, not restored on your behalf. File uploads are never kept either.
Whenever we fill a tool back in for you, we say so on the page and give you a Start over button that erases it immediately. If your browser sends a Global Privacy Control signal, we keep the non-identifying answers but not your address.
Because this is stored on the device rather than in your account, anyone else using the same device and browser profile within those 7 days could see those answers — so use Start over if you are on a shared or public computer. - Reference data our tools have already downloaded, such as pricing tables, so the page loads faster on your next visit.
You can erase all of it at any time by clearing your browsing data for this site in your browser settings.
4. How we share your information
We do not sell your personal information for money. We share it in these limited ways:
- Service providers / processors who work on our behalf — scheduling, hosting, communications (email/SMS/voice), analytics, payment, and CRM — under contracts that limit their use to our instructions.
- Insurance and trade partners only as needed to perform a service you requested (for example, coordinating your claim with your carrier or adjuster).
- Legal & safety — to comply with law, enforce agreements, or protect rights and safety.
- Business transfers — in connection with a merger, financing, or sale of assets.
5. “Sale” or “sharing” of personal information
In the past 12 months we have not sold personal information and have not shared it for cross-context behavioral advertising in exchange for money. Use of advertising cookies may be considered “sharing” under some state laws; you can opt out via our cookie banner and the request form below. We do not knowingly sell or share the personal information of anyone under 16.
6. Your privacy rights
Depending on where you live, you may have the right to:
- Know / access the personal information we hold about you.
- Delete your personal information.
- Correct inaccurate information.
- Opt out of any sale or sharing of your data and of targeted advertising.
- Opt out of marketing calls, texts, and emails at any time.
- Non-discrimination for exercising your rights.
You can exercise these rights using the request form below, by emailing office@udroofing.com, or by calling (240) 880-2108. We will verify your identity and respond within the timeframe the law requires (generally 45 days). You may use an authorized agent where permitted.
7. Calls, texts & TCPA consent
By giving us your phone number and requesting an inspection or information, you agree we may call and text you about your request, including by automated means, at the number provided; consent is not a condition of purchase. Message/data rates may apply. Reply STOP to opt out of texts or HELP for help. We honor Do-Not-Call requests and maintain an internal do-not-contact list.
8. Data retention
We keep personal information only as long as needed for the purposes above and to meet legal, tax, insurance, and warranty obligations: lead and contact records while active and up to 3 years after last contact; signed contracts, invoices, and payment records for 7 years (tax and dispute resolution); call recordings and AI-chat transcripts up to 12 months unless needed for a dispute or legal hold; W-9 and contractor pay records per IRS requirements (generally at least 4 years). After these periods we delete or de-identify the data.
Breach notification. If a data breach affecting your personal information occurs, we will notify affected individuals and any required authorities without unreasonable delay and within the timeframes required by applicable law (generally within 30–60 days of discovery).
9. How we protect your data
We use industry-standard safeguards: encrypted connections (TLS), encrypted data at rest, role-based access so staff only see what their job requires, hashed passwords, deny-by-default database security, audited access, and regular backups. No method is 100% secure, but we work hard to protect your information.
10. Children
Our services are for adults. We do not knowingly collect personal information from children under 16. If you believe a child gave us information, contact us and we will delete it.
11. Make a privacy request
Use this form to access, delete, or correct your data, or to opt out of any future sale/sharing or of marketing. We’ll confirm by email and verify your identity before acting.
